Clickly is responsible for the portal’s enquiries, business accounts, commercial records and security. This notice concerns the commerce portal. Customer Content inside an IAMSpock installation is governed separately by the customer’s notices and the applicable hosting and data-processing terms.

Information we collect
The enquiry form collects your name, business email, organisation, country, product interest, deployment preference, requested user capacity, evaluation choice and any optional message. We also keep the request’s language and processing history. There is no telephone field; you may choose to give contact details in correspondence.
Invited accounts add names, email addresses, language, organisation membership, roles and invitation history. Security records include password hashes, protected authenticator enrolment data, recovery verification records, session and request-protection tokens, and audit events. Connection information is used to limit abuse; hosting infrastructure may keep access and security logs.
Commercial records include reviewed requests, customer and licence-account identifiers, authorised output names, quotes, signed order evidence, invoices, cleared-payment references, support or update terms, reseller attribution, issuance history, signed licence/pack files and delivery records. QuickBooks remains the accounting system; staff attach documents and record payment clearance manually. The portal does not take card payments.
We receive information from you, an authorised colleague or account owner, Clickly staff, and a reseller or other business representative involved in an authorised enquiry or order. The service also creates security, review and delivery records.
Why we use it
We use these records to respond, verify business relationships and authority, prepare and fulfil reviewed orders, deliver or recover files, administer services and commissions, secure access, resolve disputes and meet applicable legal obligations. Depending on the purpose, processing relies on contractual steps, legal duties, legitimate interests or consent where applicable under POPIA.
Providing information is voluntary, but the form’s required fields are needed to submit and route an enquiry. Without business contact or authority information we may be unable to respond, invite an account or fulfil an order. The message and evaluation choice are optional; an undecided deployment preference is available.
An enquiry or evaluation request is not marketing consent. The launch service uses transactional account, order and security messages, with no marketing automation or optional advertising/analytics tracking.
Access, recipients and location
Authorised Clickly staff and account colleagues see information according to their roles. Technical members do not receive purchasing permissions merely by joining. Approved hosting, email and accounting providers, advisers and authorities may receive information needed for their function or required by law. Resellers receive only the reviewed information needed for an authorised relationship; attribution does not grant portal or IAMSpock access.
The launch sales scope is South African businesses in ZAR. Approved corporate providers may process limited contact, commercial or security information outside South Africa, subject to the applicable POPIA transfer safeguards. Actual providers, processing locations and safeguards must be verified before live collection. A French interface does not establish a French sales or hosting service.
Retention
The corporate draft baseline is up to 24 months after the last meaningful interaction for enquiries that do not become customers, unless a lawful reason or dispute requires longer retention. Accounts, contracts, payments, signed artifacts and security records have different purposes and must follow their approved retention schedules and applicable legal holds. Closing an account does not automatically erase contractual or audit evidence.
Before live collection, Clickly must approve the category-specific periods and operate deletion, backup expiry and legal-hold procedures. This development draft does not claim that automated deletion is already implemented.
Requests and complaints
Contact info@clickly.co.za with the subject PRIVACY REQUEST to request access or correction, raise an objection, request deletion where permitted, or withdraw consent where it is the basis used. We may need proportionate identity and authority checks and will explain applicable limits or records that must be retained. For information held inside a customer’s IAMSpock installation, contact that customer first.
You can also complain to South Africa’s Information Regulator. Its contact details and request forms are available here: Information Regulator · POPIA forms
Security and information to leave out
The portal uses restricted accounts, private files and audit records. No internet service can guarantee absolute security. Portal membership is separate from administration of an IAMSpock installation; the portal does not connect to customer databases or sign licences.
Do not submit passwords, authenticator secrets, recovery codes, signing keys, payment-card data or customer evidence through enquiries or commercial attachments. Use only the information and files requested for the reviewed business purpose.
